Information according to Art. 13 GDPR about the processing of personal data by DREGER IT GmbH (DREGER IT), when conducting webinars or webcasts via Microsoft Teams.

In the following, we would like to inform you about the processing of personal data in connection with the use of "Microsoft Teams".

Your participation and the associated disclosure of data is voluntary. The processing of certain data is also necessary for the technical implementation of the webinar. We hereby inform you of this.

Purpose of processing

We use the tool "Microsoft Teams" to conduct online webinars or webcasts. "Microsoft Teams" is a service Microsoft Corporation, One Microsoft Way, Redmond, WA 98052-6399 located in the USA.

Person responsible

The person responsible for data processing directly related to the implementation of the webinars or webcasts is DREGER IT GmbH.

What data is processed

When using "Microsoft Teams", different types of data are collected and processed. The scope depends on the data that you have voluntarily provided before the meeting.

The following personal data is subject to processing

User details

First name, last name, telephone (optional), e-mail, profile picture (optional), company name (optional), password (optional)

Meeting metadata

Description (optional), attendee IP address, device/hardware information.

For recording

MP4 file of all video, audio and presentation recordings, M4A file of all audio recordings, text file of online meeting chat.

When dialing in by phone

Outgoing as well as incoming phone number, country code, start & end time, participant IP address (optional)

Text, audio and video data

You have the possibility to use the chat, question or poll functions in a webinar or webcast. Your text entries will be processed and displayed in the webinar or webcast. In order to enable the display of video and the playback of audio, the data from the microphone of your terminal device and from any video camera of the terminal device are processed during the meeting. You, as well as the organizer, can turn off or mute the camera or microphone yourself at any time via the "Microsoft Teams" applications. In order to participate in an "online meeting" or to enter the "meeting room", you must at least provide information about your name.

Scope of processing

We use "Microsoft Teams" to conduct webinars or webcasts. If webinars or webcasts are recorded, you will be informed transparently in advance before the start. A notice about the ongoing recording will be displayed to you in the webinar or webcast.

If it is necessary for the purposes of logging the results of an online meeting, we will log the chat content. However, this will usually not be the case.

In the case of webinars or webcasts, we may also process questions asked by webinar or webcast participants for purposes of recording and following up on webinars or webcasts.

If you are registered as a user with "Microsoft Teams", then reports on online meetings or webcasts (meeting metadata, telephone dial-in data, questions and answers in webinars, survey function in webinars) can be stored for up to one month at "Microsoft Teams".

DREGER IT GmbH does not use automated decision-making in the sense of Art. 22 GDPR.

Legal basis for data processing

The legal basis for data processing when conducting webinars or webcasts Art. 6 para. 1 lit. b) DSGVO, insofar as the meetings are conducted in the context of contractual relationships. If there is no contractual relationship, the legal basis is Art. 6 para. 1 lit. f) DSGVO. Here, our interest is in the effective implementation of webinars or webcasts for the purpose of product presentation, training, advertising and general company information.

Recipients / passing on of data

Personal data that is processed in connection with participation in webinars or webcasts is generally not passed on to third parties unless it is intended to be passed on. Please note that content from webinars and webcasts, as well as from face-to-face meetings, is often used to communicate information with customers, interested parties or third parties and is therefore intended to be passed on.

Other recipients

The provider of "Microsoft Teams" necessarily receives knowledge of the above-mentioned data, insofar as this is provided for in the context of our order processing agreement with "Microsoft Teams".

Data processing outside the European Union

"Microsoft Teams" is a service provided by a provider from the USA. Processing of personal data thus also takes place in a third country. We have concluded a commissioned processing agreement with the provider of "Microsoft Teams" that complies with the requirements of Art. 28 GDPR.

An appropriate level of data protection is guaranteed on the one hand by the conclusion of the so-called EU standard contractual clauses. As additional protective measures, we have also configured our Microsoft Teams in such a way that, for example, only data centers in the EU, EEA are used for conducting webinars or webcasts.

Privacy notice

We revise this data protection notice in the event of changes to data processing or occasions that make this necessary.

In the case of consent as the legal basis for data processing, every data subject has the right to revoke this consent at any time without stating a reason, with effect for the future. An e-mail to datenschutz@dreger.de is sufficient for this purpose. The lawfulness of the processing carried out on the basis of the consent until the revocation is not affected by the revocation.
